Data protection and privacy policy

The goal of this data protection and privacy policy is to depict the legal data protection aspects in one summarising document. This is not only to ensure compliance with the European General Data Protection Regulation (EU 2016/679 GDPR) and Data Protection Act 2018 but also to provide proof of compliance whilst protecting the rights and freedoms of data subjects.

Preamble

Entep Properties Limited is a Commercial Property Letting Company. We take security of client data very seriously and this document describes how we collect and use client data. Many, but not all of our clients are limited companies.

Security policy and responsibilities in the company

We have appointed Debra Parker as our Data controller. In her absence Dawn Fredriksen is the person responsible for data control issues. Why do we collect your data?

We collect your data to perform our services delivered to you in the contract between yourselves and ourselves, or in order to take the steps requested by you, prior to entering a contract. This data is required for the performance of the contract, failure to provide the required information will mean we are unable to enter into a contract or provide our services.

What information do we collect?

Generally, we retain name, company name, relevant bank details, home address, company and personal telephone numbers and email address.

How do we use this information?

The information collected is used in two ways. If our contact with you goes no further than a meeting and quotation, this information is archived in a secure file in compliance with the GDPR legislation requirements relating to information management. If your enquiry leads to you working with us, your data will be used to assist with our service to you and be entered into our mailing/tenancy system.

How long we keep your data

We will process your data for as long as you have a contract with ourselves and on termination of said contract information will be archived and stored securely in accordance with GDPR legislation requirements relating to information management.

Rectification and Erasure

You have the right to request access to and rectification or erasure of personal data, or restriction or to object to the processing of your data. To do this please submit your request to our nominated data protection officer.

How is your information kept secure?

All information gathered that is used or archived is kept secure with a view to preventing any unauthorised access to your data. Entep Properties Limited ensures that it has in place appropriate technical and organisational measures to protect against unauthorised or unlawful processing or accidental loss, destruction or damage of data. We do not supply our data to any other companies without your specific consent.

All employees are obliged to maintain client confidentiality.

Complaints

You have the right to lodge a complaint in relation to our processing of your data. In the first instance please contact our nominated Data Protection Officer. If you are unsatisfied with the response you can lodge a complaint with the Supervisory Authority, which for the United Kingdom is the Information Commissioners Office.
